What we collect
When you contact us
Your name, email address, and anything else you choose to give us, such as your phone number, your website address and your message.
When you fill in a brief
Your contact details, your business details, your answers about the project, and any files you upload, such as logos, photos, product lists and documents. Please don't include anyone else's personal information unless you have their permission, and never send passwords through a form. We'll send you a secure way to share logins.
When you buy from us
Your name, email address, billing address, what you bought and how much you paid. Payments are taken by PayPal, whether you pay by card or with a PayPal account. PayPal tells us you've paid, along with your name and email address, but we never see or store your card details.
While we work together
Emails, messages, call notes and the files we exchange. For website care plans, we also keep records of the work we do on your site.
When you use our website
When you send a form, our server records your IP address and the time. We use this to stop spam and misuse. If you agree to analytics cookies, we also collect information about how you use our site. See our Cookie Policy for details.
How we use it
The law says we need a reason, called a lawful basis, for each way we use your information. Here's what we do and why.
| What we do | Our lawful basis |
|---|---|
| Reply to your enquiry and send you a quote | Taking steps at your request before entering a contract, or our legitimate interest in answering people who contact us |
| Carry out the work you've ordered, and keep you updated | Performing our contract with you |
| Take payment, send invoices and keep financial records | Performing our contract, and our legal obligations under tax law |
| Keep a copy of your files so we can make updates later | Our legitimate interest in giving you a quick, affordable service if you come back |
| Show finished work in our portfolio | Our legitimate interest in showing our work. We only show business work, never personal details, and you can ask us not to |
| Stop spam and keep our website secure | Our legitimate interest in protecting our business and our visitors |
| Understand how people use our website | Your consent, which you can change at any time in our cookie settings |
| Send you occasional news and offers | Your consent. We only do this if you've opted in, and every email has an unsubscribe link |
We don't use your information to make automated decisions that affect you.
Who we share it with
We only share what's needed, with companies that help us run our business. They're only allowed to use it to provide their service to us.
- IONOS, our web hosting provider, which stores our website, form submissions and client websites on servers in the UK.
- IONOS, our email provider, which delivers and stores our email.
- PayPal, which takes payments. PayPal is also a data controller for the payment information you give it.
- Our accountant, for bookkeeping and tax returns.
- Google, for website analytics, only if you've agreed to analytics cookies.
- Suppliers you ask us to deal with, such as a printer, domain registrar or sign maker. We'll only send them what's needed for your job.
We may also share information if the law requires it, or to protect our rights in a dispute. If our business is ever sold, your information would pass to the new owner under this policy.
Outside the UK
Some of these providers, such as PayPal and Google, may process information outside the UK. When they do, they use safeguards approved under UK data protection law, such as the UK International Data Transfer Agreement or adequacy regulations.
How long we keep it
| Information | How long |
|---|---|
| Enquiries that don't lead to work | 2 years from your last message |
| Briefs, project emails and files | While we work together, then 6 years after our last project, in case questions come up later |
| Invoices and payment records | 6 years after the end of the financial year, as tax law requires |
| Design source files | Kept so we can make updates for you later. Ask and we'll delete them |
| IP addresses used for spam protection | A scrambled version for up to 10 minutes. The address sent with a form is kept with that submission |
| Marketing preferences | Until you unsubscribe, then a record that you did, so we don't email you again |
Keeping it safe
Our website uses an encrypted connection (HTTPS). Form submissions and uploaded files are stored outside the public part of our server, so they can't be reached from the web. Access to client information is limited to the people working on your project, and our accounts are protected with strong passwords and two-step sign-in where available.
If something ever went wrong that put your information at risk, we'd tell you and the ICO where the law requires it.
Your customers' data
If we host or look after your website, it may hold information about your own customers, such as enquiries, orders or bookings. For that information, you're the data controller and we're a data processor. We only access it to do the work you've asked for, keep it confidential and help you meet your own responsibilities. We'll put this in writing in a data processing agreement on request.
Your rights
Under UK data protection law, you have the right to:
- See the information we hold about you and get a copy
- Correct anything that's wrong or incomplete
- Delete your information, where we don't need to keep it
- Restrict how we use it while a concern is looked into
- Object to us using it based on our legitimate interests, including for marketing
- Move information you gave us to another provider in a common format
- Withdraw consent at any time, where we rely on it
To use any of these rights, email hello@auctiontemplateking.com. It's free, and we'll reply within one month. We may ask you to confirm who you are first.
If you're unhappy with how we've handled your information, please tell us so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes and contact
We'll update this policy when the way we use information changes. The date at the top shows when it last changed. If the change is significant, we'll tell our clients by email.
